Short-Term Travel Abroad Programs Volunteer Internship Position

  • Type: Unpaid internship, temporary, 12 weeks
  • Hours: 15 hours per week minimum; flexible daily hours available Monday – Friday, 9:00a.m. – 5:30p.m.
  • Location: Greenheart International Office, Chicago, IL
  • Start Date: Late Summer/Early Fall

Interested in learning more about the international cultural exchange industry and program and project management? Greenheart Travel is looking for an enthusiastic traveler and team player to help with daily program management tasks and projects, and ultimately help to inspire the next generation of travelers and global leaders travel for a change.

Some of the intern’s duties may include, and are not limited to, the following:

Program Management:

  • Respond to general program inquiries via email and phone.
  • Data entry of new leads and applicants.
  • Mail program materials to participants.
  • Follow up correspondence for participants going abroad
  • Paperwork processing for visas, travel details & billing
  • Write for Greenheart Travel’s blog as needed.
  • Moderate Greenheart Travel Facebook groups and other social media tasks as assigned.
  • In collaboration with program manager, develop social media marketing campaigns
  • Interview potential participants via Skype
  • Assist in pre-departure orientations & support
  • In collaboration with program manager, process program invoices

General Office Administration: 

  • Answer and transfer phone calls from the main office line
  • Check general office voicemail
  • Answer the door and greet guests

Required skills:

Volunteer Interns should be self-directed, intuitive, hard-working and flexible with excellent written and oral communication skills. Outgoing and friendly personality with passion for creativity is desirable. Applicants should have experience with and enthusiasm for international travel. Excellent computer skills with competence in Microsoft Office Suite; experience with Photoshop, WordPress a plus; knowledge of social media outlets helpful.

Internship for Teach English & Work Abroad Programs:

  • Type: Unpaid internship, temporary, 12 weeks with possible extension for an additional 10 weeks
  • Hours: 15 hours per week minimum; flexible daily hours available Monday – Friday, 9:00a.m. – 5:30p.m.
  • Location: Greenheart International Office, Chicago, IL
  • Start Date: ASAP

The Greenheart Travel Volunteer Intern will assist management and staff with data entry, interviewing candidates, phones, and various other administrative duties. Some of the intern’s duties may include, and are not limited to, the following:

Program Coordination

  • Assist Program Managers with daily administration of Greenheart Travel Teach & Work Abroad programs
  • Review and process Teach program applications
  • Ensure timely receipt of participant applications and follow up as instructed by Program Managers
  • Assist in creating web content to update existing pages or to create new ones
  • Interview candidates who have submitted applications via Skype
  • Interface with participants when necessary on aspects of program administration
  • Write and update program orientation materials as needed
  • Assist the programs managers with other tasks as assigned

Marketing

  • Assist with web and blog content
  • Research new and competing Teach Abroad programs
  • Help with creative Marketing ideas to promote programs; using Instagram, Twitter, Facebook

Sales & Recruitment

  • Work with Program Manager on Salesforce data entry and program management
  • Help the Travel Abroad department meet the goal of outbound participants nationally in the calendar year
  • Respond to e-mail and phone inquiries as needed
  • Assist with lead generation and follow up through the Salesforce CRM system
  • Assist with maintaining program listings with web directories and placing ads
  • Help coordinate travel and study abroad fairs, school presentations, information sessions and other networking events to be determined

General Office Administration

  • Assist in general office administrative tasks when needed. This includes, but is not limited to, answering the phones, copying, assisting in large mailing projects, etc.
  • Assist with other programs within the Travel Abroad department as needed

Required skills:

We are looking for an individual who will oversee sales and program management of a division of Greenheart Travel that focuses on sending native English speakers on international volunteer, language, and high school programs. The Program Assistant will support the Program Director with administrative tasks, while contributing to our personal, friendly and professional customer service approach for our participants. This role is intended to bring this level of personal touch supporting the sales process by engaging with potential participants at the point of their initial inquiry. The Program Assistant will be required to explain the details of the programs we have, inspire interested participants to travel on our programs, and support them throughout their program.

This is position that requires at least 2 years of proven work experience. Greenheart Travel is growing rapidly, so we’re looking for someone who is highly organized, adaptable and able to actively contribute to new ideas, growth and constant improvement. We have a small staff, each person wears many hats, and our roles are constantly evolving. Every staff member has input in the brainstorming and direction of our department.

Duties:

  • Responsible for program administration for Teach English in a Homestay, Teen Summer Language Camp, Volunteer Abroad, and High School Abroad
  • Sales, Recruitment, Program Management for High School and Short Term programs
    • Teach English in a Homestay, Volunteer, Language Camp
    • HSA Destinations: Argentina, Australia, Brazil, Costa Rica, and New Zealand  *Portfolio may be flexible as required
  • Administer programs through Salesforce.com and enhance the program management process
  • Use a variety of prospecting methods, follow up on qualified leads, and cold-calling
  • Increase the percentage of initial inquiries that convert into a participant
  • Meet regularly with the Director about program and sales updates
  • Conduct regular industry analysis ensuring we are implementing necessary changes to stay on top of the competition
  • Assist in developing and routinely updating relevant Greenheart Travel sections of website
  • Create content for the Greenheart Travel blog
  • Work with marketing team to develop and implement creative campaigns for High School and Short Term Programs Abroad and build a community for participants via social media outlets
  • Assist Outreach Coordinator with school networking with the aim of winning group programs
  • Assist with special event planning and outreach
  • Represent Greenheart Travel programs at travel and study abroad fairs, school presentations, and other networking events to be determined
  • Work on special projects as needed
  • Oversee participant medical insurance process
  • Assist with general office duties, including answering phones
  • Think outside the box and have a firm grasp on the big picture of our competitive position within our industry

Qualifications:

  • Bachelor’s degree or higher
  • At least 2 years of proven work experience
  • Experience with Salesforce administration
  • Extensive experience with engaging on Instagram, Snapchat, Facebook, and other social media platforms
  • Extensive travel experience (experience studying abroad required)
  • Dedication to cultural exchange, travel and a passion for learning about other cultures
  • Proactive, diligent, positive & creative self-starter with exceptional ability to learn quickly
  • Great work ethic and excellent written, oral and interpersonal skills
  • Customer service experience
  • Highly organized with keen attention to detail
  • Working knowledge of and enthusiasm for designing and conducting webinars
  • Ability to manage multiple priorities and to work in a fast-paced environment
